If owners are emailing you for updates, the report is arriving too late or answering the wrong question. Both are fixable.

Every managing agent has the same recurring Tuesday: three owners asking for a position they were sent a fortnight ago, in a format that did not answer what they actually wanted to know.

Monthly is already too slow

A statement covering a period that closed three weeks ago cannot inform a decision. Owners are not asking for more detail; they are asking for it sooner. A live position that is always current removes the question entirely.

Lead with the four numbers owners actually check

Rent received against rent due. Arrears and their age. Open works and committed spend. Upcoming renewals or vacancies. Everything else is supporting detail and belongs below the fold.

Let them see the working

An owner who can click from a net figure into the individual invoices stops asking you to explain it. Transparency is cheaper to provide than justification.

Make the exceptions visible

Owners forgive bad news that arrives early. Flag the unit in arrears and the certificate expiring next month in the report itself, rather than waiting to be asked.

Teams that move owners onto a live portal typically see owner-initiated queries fall sharply within a quarter — not because owners care less, but because the answer is already in front of them.
