Compliance failures in managed portfolios are rarely the result of anyone deciding to skip something. They are the result of an expiry date living in one person's memory, or a folder nobody has opened since the tenancy began.
Attach obligations to the unit, not the manager
Staff change, units do not. When gas safety, electrical, fire and energy certificates are recorded against the property, a handover stops being a risk event.
Set the reminder at renewal lead time, not at expiry
A certificate that expires in seven days is already a problem: booking an engineer, gaining access and receiving the paperwork rarely fits into a week. Work backwards from how long the process really takes and alert then.
Store the evidence where the deadline lives
A reminder that says 'renewed' without the document attached only moves the search. Filing the certificate against the same record closes the loop.
Review the exceptions weekly
One standing view of everything expiring in the next ninety days, checked once a week, catches almost everything a quarterly audit would find — months earlier and at a fraction of the cost.
Why it is worth the setup
The work of building this calendar is a one-off. The work of reconstructing it during an inspection, under time pressure, is not.
